What is a Bid Evaluation?
The Bid Evaluation is a process managed through the Bid Evaluation Module, which allows a Buyer Organization to manage and perform the bid evaluation online. This ensures the process is impartial, fair, consistent, documented, and confidential.
Who can setup a Bid Evaluation?
Any user with the Bid Evaluation Manager role can setup a Bid Evaluation.
How do I setup a Bid Evaluation?
To setup a Bid Evaluation, click the three dots next to the solicitation in question, then click Setup Bid Evaluation Process.
Can I setup a Bid Evaluation before the solicitation is closed?
Yes, the Bid Evaluation can be setup while the solicitation is still open. However, it cannot start until after closing.
How can I add evaluators to a Bid Evaluation?
Click Setup at the top right, then click on the technical step you wish to add evaluators to. Click the Contributors tab, then click +Add New Evaluator.
How can I use Consensus?
During the setup, click on the three-person icon to the right of the technical step in question.
Can I cancel a Bid Evaluation?
Yes, the Bid Evaluation can be cancelled as long as it has not been finalized.
How can I add a technical step to a Bid Evaluation?
Click Setup at the top right, click Add Step, then click Previous. To add a technical step click the + next to the number of steps.
Can I assign a new Bid Evaluation Manager to a Bid Evaluation that has already been setup?
To replace the Bid Evaluation Manager, the Bid Evaluation must be cancelled and started over by the new Bid Evaluation Manager.
How do I remove a technical step in a Bid Evaluation?
As a Bid Evaluation Manager, you can remove a technical step by clicking Setup, then Modify. You will have the option to delete a technical step as long as it hasn’t started yet by clicking the trash can, then Save.
What are the steps in a Bid Evaluation?
A Bid Evaluation can comprise of these following steps: Compliance step, Technical step(s), Vendor Performance step, Pricing step and the Final Score.
How do I modify a Bid Evaluation form?
You can modify a Bid Evaluation form template, click Tools then click Edit to the right of the template you wish to modify.
You can also modify a custom form within the Bid Evaluation during the setup by clicking Evaluation Form in the technical step of the Bid Evaluation.
How can I view my evaluation scores on a technical step in a Bid Evaluation?
To view your scores, go to the Technical step in question and click Edit on the evaluation you wish to view.
If you have already finalized your evaluations, go to the technical step and click View on the evaluation you wish to view.
How do I add evaluators to my Bid Evaluation?
In the Setup of the Bid Evaluation under the Technical step in question, click Contributors, then click Add New Evaluator.
